We have an opening for a collaborative and energetic individual to serve as Office Administrator. This role will professionally meet and greet all potential clients and customers, determine their needs, and providing the necessary solution.

Essential Duties and Responsibilities:

  • Answer all incoming calls in a professional and positive manner to reflect the culture of the organization
  • Greet everyone at front door in a positive manner, determine and provide the assistance they require, and maintain visitor log.
  • Manage employee and visitor parking as well as building security
  • Perform various administrative support duties for Business Units
  • Maintain neatness & cleanliness of the office environment, including the kitchen.
  • Prepare all outgoing mail and shipments, as well as maintain postage meter and mailing/shipping supplies
  • Order, maintain, and stock all office supplies (including drinks, snacks, and coffee)
  • Maintain a schedule of meetings for all conference rooms using Outlook Calendar
  • Prepare and maintain conference rooms for all scheduled meetings (supplies, drinks, set up lunches, clean up)
  • Assist with set-up for company social events
  • Order food for in-office meetings and events
  • Participate in the Hourigan Safety and Health Management System (SHMS) by committing to safe work practices, raising concerns, attending and applying safety and health training, and eliminating hazards within your capability and control and the help of safety staff

Qualifications and Experience:

  • Three years of experience as a receptionist or in an office support role in a professional services environment with a high level of customer and client contact is preferred. Some college education is desired.

  • Proficient in the use of Microsoft Office Suite to schedule appointments, send and receive e-mails, and produce letters and documents. Must have the willingness to learn systems proprietary to Hourigan.
